Automate final cleaning: 90 minutes back per turnover

When your PMS only knows the scheduled departure, every turnover day starts on the back foot. A real-time trigger gets the missing 90 minutes back. Here is how to set it up.


The Typical Scenario

The guest departs, you may or may not get a message. You call the cleaner, who doesn’t pick up. Eventually it works out, but by then you’ve sent three messages and checked the calendar twice. All just to make sure the apartment is clean on time.

This works for one apartment. With two it gets tight. With five it’s a full-time job, just for cleaning coordination.

Why Manual Planning Fails

Manual cleaning planning tends to break in the same spots: the guest leaves earlier than planned, but no one tells the cleaner. Communication is scattered across WhatsApp, calls, and texts. And between departure and arrival, there’s often only a tight time window.

Each of these gaps costs time. When they hit on the same changeover day, the day turns into a stress test.

Two Levels of Automation

There are two approaches to automating final cleaning. The difference decides whether the automation holds up when it matters:

PMS-based (scheduled)

Your PMS knows the planned departure date and sends a task to the cleaner in the morning. Works as long as the guest leaves on time.

Real-time (QR checkout)

The guest scans a QR code when leaving. At that moment, the cleaner is automatically notified, regardless of the planned departure time.

Scheduled vs. Real-Time – an Example

Imagine: your guest has an early flight and is out of the apartment by 7 AM. Cleaning is scheduled for 11 AM. With a PMS-based system, the cleaner still waits until 11. With a real-time system, they’re notified at 7 AM and can start right away.

In this case, a four-hour head start. Over a season, that adds up.

How to Set It Up (5 Minutes)

1. Create your property

Create your property in the CheckYout dashboard and set the checkout times.

2. Invite your cleaner

Add your cleaner’s WhatsApp number. They’ll automatically be notified on every checkout.

3. Put up the QR code

Print the QR code and place it next to the entrance door. The guest scans it when leaving.

4. Done: The rest runs automatically

As soon as a guest scans the QR code, your cleaner is notified immediately. You don’t need to coordinate anything in the morning.

Bonus: Cleaning Confirmation and Tracking

In the CheckYout dashboard, you see when a guest checked out and whether the cleaner confirmed the cleaning. This gives you peace of mind, especially when managing multiple properties and you can’t be on-site everywhere.
