Automatically notify your cleaner – often two hours earlier than a phone call or WhatsApp group

Instead of coordinating cleaning by phone call or WhatsApp group and waiting until the guest finally replies, there is a simpler way: a QR code by the door that triggers check-out and notifies your cleaner directly.

The problem: calls, WhatsApp groups, waiting

Check-out is booked for 10 AM, check-in at 3 PM. When the guest actually leaves, nobody knows. You call, you text the WhatsApp group, you wait. The guest replies an hour later to say they were long gone. Your cleaner could have known two hours earlier.

Two hours wasted because nobody knew when the guest actually left.

Why WhatsApp groups don't work

Many hosts would love to simply add their cleaner to an existing WhatsApp group – but technically, that's not possible: the official WhatsApp Business API only allows messages to individual phone numbers, not groups. This limitation applies to every provider, not just CheckYout.

The better solution: automatic notification at checkout

Instead of coordinating by hand, let the guest trigger check-out themselves. A QR code at the exit door is all it takes. The guest scans, confirms departure, and your cleaner gets a personal WhatsApp message right away, directly and not in a group. The one thing that matters is that the guest sees the sign, so a spot right next to the door works best.

The flow in 30 seconds:

  1. Guest scans QR code when leaving
  2. Guest confirms checkout in browser
  3. Cleaner receives WhatsApp with property + time
  4. Cleaner confirms completion via link

What the cleaner receives

A regular WhatsApp message, right in your cleaner’s usual chat. It contains:

Property name

e.g. "Mountain Chalet Eiger"

Timestamp

Exact checkout time

Confirmation link

One tap is enough

Important: The message to your cleaner contains no guest names.

What you get as a host

You get confirmation via WhatsApp or email as soon as cleaning is done. In the dashboard you see the status of all properties at a glance: who checked out, who's cleaning, where everything is ready.

Departure notification without an app, directly from the guest

Many hosts look for an app where guests can report their departure. The problem: nobody wants to install an app for a single checkout. The solution is simpler: a QR code on the door.

The guest scans the QR code with the regular phone camera and confirms checkout in the browser. An app or registration is not required. The departure notification goes automatically via WhatsApp to your cleaner.

A QR code replaces the departure app – and works more reliably, because every guest already carries a phone camera.
